Position Summary

Based out of Mississauga, ON, the Coordinator, Lease Documentation plays a vital role in ensuring the accuracy and efficiency of lease agreements and associated documents and supports the Lease Documentation team. This role is responsible for the administration and coordination of activities and collaborates with other Regional and National teams on improving consistency and efficiency of the leasing processes. The Coordinator, Lease Documentation also:

  • Provides administrative support for all finalized documentation, including distribution of documents and file maintenance.
  • Updates all electronic files as required and ensures paper filing is organized and complete.
  • Reviews and processes Tenant Allowance and Brokerage Commission requests and prepares confirmation agreements, pylon sign agreements, storage agreements, and license agreements.
  • Acts with a sense of urgency when coordinating and processing all lease clause abstractions from final documentation to electronic files.
  • Works collaboratively with the Lease Documentation Team to ensure seamless operation of the department.
  • Plays a key role with internal business units and liaises with clients while providing superior customer service to all Crombie employees, clients, suppliers and to the public by gathering information for various department requests.
  • Responds professionally and promptly to all questions, inquiries.
  • Engages across all levels of the organization to create and promote a safe and respectful work environment.
  • Other special projects and tasks as assigned.

The profile we are looking for

  • Post-secondary degree or diploma in legal and/or Office Administration.
  • A minimum of two (2) years experience in related legal/administrative roles in a professional environment.
  • Demonstrated proficiency in MS Office Suite and experience in organizing and managing concurrent projects is required.
  • An active interest in commercial real estate and enthusiasm for the role is preferred.
  • Previous experience using/familiarity with real estate systems such as Yardi Voyager, or similar software, is considered an asset.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple priorities and work under tight deadlines.
  • Professionalism and excellent verbal and written communication skills are a key requirement of this role.
  • Superior relationship building skills with internal and external stakeholders.
