Position Summary
Based out of Nova Scotia, the Property Manager contributes to Crombie’s success by representing the organization with respect to the efficient and effective management of an assigned portfolio of Crombie properties. Service-oriented and acting with a sense of urgency, this role is responsible for all operational aspects of property management for the portfolio. The Property Manager monitors and reports on the results of each property in accordance with business plans and supporting operating and capital budgets. Additional duties of the Property Manager include but are not limited to:
- Works collaboratively and effectively communicates with all key stakeholder groups (tenants, contractors, legal and financial representatives, internal departments), to understand business objectives, build relationships and align with improvement/investment strategy for the portfolio.
- Prepares and operates within annual operating expense budgets, manages capital spending, and communicates the necessity of any adjustments within the budget period.
- Creates and executes an evolving 5-year capital expenditure (CAPEX) plan for the assigned properties.
- Monitors expenses on a monthly basis, reviewing actual performance against budget and conducting a monthly variance analysis and recommends solutions to address the situation and ensure expenditures remain within prescribed budgets.
- Supports the collections of tenant receivables in conjunction with the Accounts Receivable department as needed.
- Liaises with Leasing Administrator and Leasing Manager to ensure budgeted leasing projections are received and reviews monthly client listings and rent rolls to ensure accuracy of information.
- Ensures tenant billings and year-end adjustments are correct and in compliance with the lease. Administers leases to ensure all requirements are maintained, including insurance, percentage rent, monthly, annual client sales, and annual sales audits.
- Tenders, selects and assists with the supervision of service contracts in accordance with Crombie policies and procedures.
- Completes consistent and regular onsite property inspections to ensure high standard of operation and appearance at all times.
- Ensures all properties in the portfolio meet federal, provincial, and municipal codes, health and safety standards.
- Supports the Operational Region in ensuring that all programs related to the overall operation of the portfolio are implemented in a timely efficient manner by regularly reviewing the execution of areas such as, but not limited to:
- Marketing and client/tenant coordination
- Preventative maintenance and cleaning operations of the property
- Energy management, environmental management, and waste management
- Landscaping, pest control, property security, snow removal, and parking lot
- Life safety systems and Occupational Health & Safety to ensure cost effective facility management in compliance with all relevant legislation.
- Anticipates and responds to all operational issues.
- Actively supports leasing, corporate development, and construction initiatives that will create value for the portfolio and to lease up vacant space.
- Collaborates between departments to ensure alignment on regional and national initiatives. Follows national operational management approaches and policies.
- Ensures excellent tenant relations by:
- Providing exceptional customer service
- Implementing tenant retention plans, and managing tenant requests in a timely and professional manner
- Overseeing the annual tenant survey process
- Adapts to changes within the portfolio due to property redevelopment/development activities, newly purchased properties, or other reasons.
- Engages across all levels of the organization to create and promote a safe and respectful work environment.
- Other special projects and tasks as assigned.
The profile we are looking for
- Minimum of 5 years property operations experience in a professional environment
- Post-secondary education in Business or an equivalent combination of education and related experience.
- Customer focused with exceptional organizational skills and a high attention to detail.
- Self-starter who can develop and build relationships internally and externally, as well as the ability to maintain confidential information.
- Prior experience with Yardi Voyager is considered an asset.
- Previous/current experience leading people is considered an asset.
